A rapidly growing haulage business, with a significant number of finance documents to process each month, was struggling with the increased demands, in their already busy finance team. The volume of documentation was over 2,000 purchase invoices per month and the current manual methods of processing data, were slow, inefficient and prone to human error, delays or documents being misplaced or lost on occasions.

By integrating a new Document Management solution with recently acquired Xerox MFD’s, IOS was able to help the business leverage their initial investment to gain the efficiencies they were looking for, almost immediately. The intuitive user interface on the Xerox devices assisted with streamlining the scanning process and a well configured software solution, enabled automated data capture, filing, naming of documents and workflows.
The Results
This client has won back significant time within their Accounts Department, freeing them up to concentrate on higher value work, that has resulted in much better visibility of costs, better credit lines with suppliers and improved cashflow within their business. Tasks that sometimes took over a week to go through the manual steps and checks, were now completed in minutes, with minimal human intervention required.
